Your Privacy Matters

At Vidata, protecting your business information is one of our highest priorities. We understand that our customers trust us with financial and operational data from their accounting systems and business documents. This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices you have regarding your information.

1. Introduction

Welcome to Vidata ("Vidata", "we", "our", or "us"). Vidata is an AI-powered business intelligence platform that enables businesses to securely connect their financial and operational data sources, ask questions in natural language, and receive insights that help them better understand and manage their business.

We believe that your business data belongs to you. Our role is to securely process your information to provide the services you request. We do not sell your financial information, accounting records, or uploaded business data.

This Privacy Policy explains how we collect, use, disclose, protect, store, and process information when you:

By using Vidata, you acknowledge that you have read and understood this Privacy Policy.

2. Scope of this Policy

This Privacy Policy applies to all services operated by Vidata, including:

This Privacy Policy does not apply to third-party products or services that operate independently of Vidata, even if they integrate with our platform. Those services are governed by their own privacy policies.

3. Information We Collect

To provide our services, we collect different categories of information. The type of information collected depends on how you use Vidata and the features you choose to enable.

3.1 Information You Provide Directly

Category Examples Purpose
Account Information Name, email address, password (encrypted), company name Create and manage your account
Profile Information Business details, preferred settings, timezone Personalize your experience
Support Requests Emails, chat conversations, screenshots Resolve technical issues and improve support

3.2 Information Collected Automatically

Like most modern SaaS applications, Vidata automatically collects certain technical information necessary to operate and secure the platform.

We use this information to maintain service reliability, improve application performance, troubleshoot issues, detect unauthorized access, and protect our customers against abuse or malicious activity.

3.3 Information We Do NOT Collect

We intentionally limit the information we collect. Unless required to provide our services, Vidata does not knowingly collect or request:

QuickBooks Credentials

Vidata never asks for or stores your QuickBooks username or password. QuickBooks connections are established using Intuit's secure OAuth authorization process, allowing you to revoke Vidata's access at any time through your Intuit account.

4. QuickBooks Online Data

One of Vidata's primary features is the ability to securely connect to your QuickBooks Online account using Intuit's OAuth 2.0 authorization framework. This connection enables Vidata to analyze your financial information and generate business insights based on the data you choose to make available.

Vidata accesses QuickBooks data only after you explicitly authorize the connection through Intuit's secure authorization process.

You may revoke Vidata's access at any time through your Intuit account settings or by disconnecting your QuickBooks organization from within Vidata.

4.1 Information Retrieved from QuickBooks

Depending on the permissions granted and the features you use, Vidata may retrieve information such as:

The specific information retrieved depends on the permissions authorized by you and the capabilities available through the QuickBooks Online API.

4.2 OAuth Authorization

Secure Authorization

Vidata does not ask for, receive, or store your QuickBooks username or password. Instead, QuickBooks authentication is handled entirely by Intuit using OAuth 2.0. After authorization, Intuit issues secure access tokens that allow Vidata to retrieve only the information necessary to provide the services you have requested.

OAuth tokens are stored securely and may be refreshed automatically while your QuickBooks connection remains active. You can disconnect your QuickBooks account at any time.

4.3 Why We Access QuickBooks Data

Vidata accesses QuickBooks information solely to provide services requested by you, including but not limited to:

Vidata does not use your QuickBooks data for advertising purposes and does not sell your accounting information to third parties.

5. Excel and Other File Uploads

Vidata allows customers to upload spreadsheets and other supported business files in order to expand available business insights beyond accounting information.

Customers should independently verify important financial decisions before acting upon AI-generated recommendations.

7.3 Responsible AI

Vidata is committed to responsible use of AI technologies. Our goal is to help customers better understand their business—not to make business decisions on their behalf. Accordingly:

Customers remain responsible for reviewing AI-generated insights and making their own business decisions.

10. Data Retention

Vidata retains information only for as long as necessary to provide the services requested by our customers, comply with legal obligations, resolve disputes and enforce our agreements.

If you close your account, we will delete or anonymize your information within a commercially reasonable period, unless we are required to retain certain information by law or for legitimate business purposes.

10.2 Connected Data Sources

When you disconnect a QuickBooks organization or remove uploaded business files, Vidata will no longer access newly available information from those sources.

Previously processed information may remain available for a limited period to support account recovery, customer requests, backup restoration or legal compliance, after which it will be deleted or anonymized in accordance with our retention policies.

10.3 Backups

Customer information may continue to exist within secure backup systems for a limited period before being automatically overwritten as part of normal backup rotation procedures.

Disconnecting an integration prevents Vidata from retrieving new information from that connected service.

11.5 Marketing Communications

You may opt out of receiving promotional emails by following the unsubscribe instructions contained within those communications. Certain operational or account-related communications may still be sent where necessary to provide the services you have requested.

Your Data Belongs to You

When material changes are made, we will update the Last Updated date at the beginning of this document. Where required by law, we will also provide additional notice through the Vidata application, email, or other appropriate communication channels.
